Organization management

Manage your organization's members, invitations, seats, credits, billing and review-sharing policy.

Open Manage organization

Open your user menu in the workspace and select Manage organization. This option is available to organization admins. The page has three main sections:

  • Plan and seats: view your subscription and the capacity available for each role.
  • People: invite members, change their roles, check credits and manage pending invitations.
  • Settings: choose whether members can share reviews within or outside the organization.

The figures on this page use an example organization. Your seat counts, balances and subscription details will differ.

Check seats and manage the plan

Under Plan and seats, check the used and available seats for Researchers, Students and Org admins. Pending invitations reserve seats, so an invitation can use capacity before the person accepts it.

Select Manage plan to review or adjust your organization's plan. Purchase more capacity in the People section opens the same plan page. Review the price and any capacity restrictions there before confirming a change.

Select Manage plan to review your organization's plan and capacity.

Select Manage billing to open the organization's billing portal for payment methods, invoices and receipts. A billing account must be set up before this option can open the portal. The plan card shows the subscription status and, when available, its renewal or cancellation date.

Invite a member

In People, select Invite member. Enter the person's email address, choose a role, and select Send invite. Abstractus emails the invitation and reserves a seat for that role.

Check the email address and role, then select Send invite.

The role options are Researcher, Student and Org admin. An Org admin can manage the organization. Roles also determine the member's credit allowance and use the corresponding type of seat.

If the required seat type is full, review your existing members and pending invitations or use Purchase more capacity.

Invite several people at once

Select Bulk invite. Enter email addresses one per line, or separate them with commas or semicolons. Choose a role under Assign role to all, then select Send invites.

Everyone in that batch receives the same role. Use separate batches for different roles. Check the result message for invited, updated and skipped entries, and correct any reported errors.

Review pending invitations

The Pending invitations table appears when invitations are outstanding. It shows the email address, role and invitation date.

To cancel an invitation, select Revoke beside it and confirm. Revoking frees the reserved seat and notifies the invitee by email. It does not remove someone who has already joined; use the member controls for that.

Find a member and change their role

Use Search by email to find a member. Select their row to view details, including their role, status and credit balance.

To change a role, choose a new value in the member's Role dropdown and confirm Change role. Their credit allowance updates to match the new role. Check that the required seat type has capacity.

Use the member's Role dropdown, then review the confirmation before applying the change.

Organization roles are separate from review-sharing roles. Viewer, Commenter, Editor and Owner describe access to an individual review; Researcher, Student and Org admin describe membership in the organization.

Check balances and buy credits for a member

The Credits column shows each member's total balance, with monthly and purchased credits listed separately. Select the column heading to sort by balance; select it again to reverse the order, and again to clear the sort.

Select Buy credits beside the member. Enter the number of credit packs, then select Continue to payment. Each pack contains 1,000 credits. The prompt shows the current pack price, and checkout shows the payment details before you pay.

Select Buy credits on the correct member's row.

Use Refresh to reload the member list and seat counts if you need the latest information.

Choose the review-sharing policy

Under Settings, use the Sharing reviews control to choose a policy. The selection saves immediately.

  • Off: members cannot share reviews. Existing shares are hidden until sharing is enabled again; they are not deleted.
  • Within organization: members can share reviews only with other members of the same organization.
  • Anyone: members can share reviews with email addresses inside or outside the organization. Reviews still require an invitation; this does not make them public.
Choose Off, Within organization or Anyone to set who members may share with.

When an editor reruns a shared review, the editor pays with their own credits and the owner receives an email.

Remove a member

Use the remove icon on the member's row, or open their details and select Remove member. Check the email address in the confirmation, then select Remove if you intend to proceed.

Removing a member frees their seat and moves them to the free tier. Their purchased credits are forfeited. Review this consequence before confirming.

Delete the organization

The Delete organization control is at the bottom of the management page. The confirmation requires you to type the organization's name.

Deletion is permanent. It cancels the subscription, removes all members, and returns everyone, including the admin, to the free tier. Use Cancel to leave the organization unchanged.
